Appeal / Objection / Justification Email Template New TOEFL

Type 5: Challenging a fine, decision, rejection, penalty, warning, or explaining why something happened
Dear Sir or Madam,
Use this if you do not know the recipient’s name. If the name is known, use: Dear Ms Carter, / Dear Mr Lewis,
I am writing to appeal [the decision / fine / penalty / warning / rejection] regarding [reference number / assignment / application / incident].
This is a clear and direct opening. Here, using I am writing is natural because the purpose must be stated immediately.
I understand that the decision was made on the basis of [the camera record / the similarity report / the attendance record / the submitted documents].
A good appeal often begins by acknowledging the basis of the decision. This makes the objection sound reasonable, not aggressive.
However, I believe that some important circumstances may not have been fully considered.
This is a safe way to object. It does not accuse the recipient of being wrong; it asks them to look again.
At the time of the incident, [explain what was happening].
This phrase helps the student move into a chronological explanation.
Because of [an emergency / a technical problem / unclear instructions / a misunderstanding], I had to [take the action that caused the problem].
Here, using I had to is appropriate because the writer personally explains their action.
Had I [continued / ignored the problem / followed the original plan], the situation might have become [unsafe / more serious / unfair / impossible to resolve].
This is an advanced inverted conditional. It is useful for stronger students, but not obligatory.
Although I understand the importance of [the rule / requirement / instruction], the circumstances in this case were unusual.
This pattern shows respect for the rule and still prepares the ground for reconsideration.
I can provide supporting evidence, including [receipts / photographs / medical documents / drafts / screenshots / witness statements].
This sentence naturally uses I because the writer is offering evidence.
The attached documents may help show that [the decision should be reviewed / the situation was outside my control / the requirement was partly met].
This avoids repeating I have... and makes the evidence the grammatical subject.
For this reason, I respectfully ask you to review the case and reconsider [the fine / penalty / score reduction / rejection].
This is direct but still polite. Here I ask you is natural because this is the main request.
Could you please let me know whether any further evidence is required?
This adds a practical second purpose: asking about the procedure.
It would also be helpful if you could explain how long the review process usually takes.
This sentence uses you naturally because the recipient is being asked to explain something.
Please let me know if I need to submit any additional documents or complete a separate appeal form.
This is a useful final procedural question.
Thank you for taking the time to review this matter. I would appreciate a fair reconsideration of the circumstances.
This ending is respectful, firm, and not overly legalistic.
Yours faithfully,
[Your Name]
Unknown recipient: Dear Sir or Madam → Yours faithfully. Known recipient: Dear Ms Green → Yours sincerely.
Optional appeal phrases
I do not dispute the rule itself, but I believe the penalty may be too severe in this particular case.
Use this when the writer accepts the rule but disagrees with the punishment.
The situation may have resulted from a misunderstanding rather than intentional misconduct.
Good for academic, administrative, or service-related appeals.
If you need any further details, I would be happy to provide them.
A natural cooperative phrase with both you and I.
TYPE 5 LOGIC:

APPEAL PURPOSE → ACKNOWLEDGE THE DECISION → STATE THE OBJECTION → EXPLAIN THE CIRCUMSTANCES → MENTION EVIDENCE → ASK FOR REVIEW → ASK ABOUT PROCEDURE → COOPERATIVE CLOSE

Response to an Official Notice / Apology Email Template New TOEFL

Type 6: Replying to a warning, complaint, administrative notice, request for action, or writing a formal apology
Branch A: Response to an official notice
Dear Sir or Madam,
Use this for an unknown administrative recipient: hosting provider, university office, customer service, clinic, or public authority.
I am writing in response to your notice dated [date] regarding [copyright claim / account issue / missing document / rule violation / service problem].
This is a natural place to use I am writing, because the letter directly responds to an official message.
Thank you for bringing this matter to my attention.
This phrase sounds cooperative and professional before you explain your position.
I would like to clarify the situation and provide some additional information.
This is a useful bridge from acknowledgment to explanation.
As I understand your notice, [briefly restate the problem described in the notice].
This confirms that the notice has been understood before the writer gives an explanation.
However, I believe the issue may have occurred because of [a misunderstanding / an outdated record / a technical error / unclear instructions].
This allows the student to disagree or clarify without sounding rude.
If you need any correction from me, I will make the necessary changes promptly.
This phrase uses both you and me naturally and sounds cooperative.
I have attached [the requested document / confirmation / screenshot / explanation] for your reference.
This is a clear modern attachment formula.
Could you please confirm whether this is sufficient to resolve the matter?
This adds a practical second purpose: asking whether the response meets the requirement.
Please let me know if you require any further information or action on my part.
A strong closing line for a response to an official notice.
Thank you for your guidance. I look forward to your confirmation.
This ending is especially useful when the writer needs the office or company to confirm the next step.
Branch B: Formal apology
Please accept my sincere apologies for [missing the deadline / causing the inconvenience / failing to inform you earlier / submitting the document late].
A direct apology should appear early. Do not hide the apology at the end of the email.
I understand that this may have caused inconvenience, and I sincerely regret the situation.
This sentence recognizes the impact. It sounds more mature than simply repeating “sorry.”
Unfortunately, [brief explanation of what happened], which made it difficult for me to [meet the deadline / attend the appointment / complete the task / respond earlier].
An explanation is acceptable, but it should not sound like an excuse.
I realize that this explanation does not remove the inconvenience caused, but I hope it clarifies the circumstances.
This is a very useful apology bridge: explanation without avoiding responsibility.
To correct the situation, I have [attached the missing document / requested a new appointment / made the payment / resubmitted the task].
A good apology includes action, not only regret.
I will make every effort to ensure that this does not happen again.
This is a useful reassurance sentence for apology letters.
Could you please let me know if there is anything else I should do at this stage?
This combines apology with a practical request for guidance.
Please accept my apologies once again. Thank you for your understanding.
A clean apology ending. Avoid apologizing in every sentence.
Yours faithfully,
[Your Name]
Use Yours faithfully when the recipient’s name is unknown. Use Yours sincerely when the recipient’s name is known.
TYPE 6 LOGIC — OFFICIAL NOTICE:

NOTICE RECEIVED → ACKNOWLEDGEMENT → CLARIFICATION → EXPLANATION / CORRECTION → DOCUMENTS → CONFIRMATION REQUEST → NEXT STEPS → COOPERATIVE CLOSE

TYPE 6 LOGIC — APOLOGY:

APOLOGY → RECOGNITION OF IMPACT → BRIEF EXPLANATION → CORRECTIVE ACTION → REASSURANCE → REQUEST FOR GUIDANCE → RENEWED APOLOGY
